Position Overview: 
We are seeking a dynamic and organized individual to fill the role of Corporate Office Manager. The ideal candidate will be responsible for overseeing various administrative functions to ensure the smooth and efficient operation of our corporate office. This multifaceted role requires a proactive and detail-oriented professional who can manage facilities, help support mailroom operations, take ownership of office spaces, coordinate conference room scheduling, handle event logistics, manage lunch orders, assist HR with administrative tasks, and perform other duties associated with an office manager role.


Key Responsibilities:

1. Receptionist:

• Act as first point of contact for all visitors.

• Light phone coverage.

2. Facilities Management:

• Oversee the maintenance and functionality of the corporate office space.

• Collaborate with building management for repairs, maintenance, and improvements.

• Ensure a clean and organized office environment for optimal productivity.

3. Mailroom Assistance:

• Support mailroom and Fulfillment staff in the efficient handling of incoming and outgoing

mail.

• Help with mail distribution and shipping logistics.

4. Office Ownership:

• Take ownership of office spaces, ensuring a professional and welcoming atmosphere.

• Manage office supplies, equipment, and furniture inventory.

• Liaise with vendors for office-related services and supplies.

5. Conference Room Scheduling:

• Coordinate and schedule the use of conference rooms for meetings and events.

• Ensure rooms are properly equipped and set up for presentations or video conferences.

• Manage reservations and resolve scheduling conflicts.

6. Event Coordination:

• Plan, organize, and execute onsite and offsite team functions or events.

• Coordinate logistics, catering, and any necessary arrangements.

• Collaborate with relevant departments to ensure successful events.

7. Lunch Ordering:

• Facilitate and manage the ordering of lunches for meetings and events.

• Coordinate dietary preferences and restrictions with catering providers.

• Monitor and control catering expenses within budget guidelines.

8. HR Administrative Support:

• Assist the HR department with various administrative tasks.

• Facilitate the onboarding process for new hires.

• Maintain employee records and assist with HR-related documentation.

9. Office Supply Inventory and Ordering:

• Maintain accurate records of office supplies and equipment.

• Monitor inventory levels and reorder supplies (i.e. office necessities, snacks, etc.) as

needed.

• Source cost-effective and quality suppliers for office materials.

Job requirements

• Bachelor's degree in Business Administration, Office Management, or a related field.

• Proven experience in an office management or administrative role.

• Strong organizational and multitasking skills.

• Excellent communication and interpersonal abilities.

• Proficiency in office software (e.g., Microsoft Office Suite).

• Problem-solving skills and the ability to handle challenging situations.

• A proactive and positive approach to work.
