Job description

Position Overview: As an Intake Coordinator you’ll be primarily responsible for high volume telephonic intake and documentation of initial precertification and predetermination information received via telephone, fax or e-mail in a call center setting. Communicate employer plans precertification requirements and verify status of precertification via telephone or fax. Be the point of contact for providers, facilities and members displaying a high level of excellent customer service.

Key Responsibilities:

  • Primarily answers incoming calls at a high level within a queue to Prime Dx, based on call center standards.
  • Reviews and completes the daily Intake Queue workflow.
  • Assists with processing of all Prime Dx incoming and outgoing faxes.
  • Transfers telephone calls to various departments within the organization appropriately.
  • Documents appropriate notes of caller’s information and return contact information using EMR software (Cedar Gate)
  • Verifies and communicates employer group’s precertification requirements.
  • Data entry of admission and referral/service events for preauthorization following precertification guidelines and/or plan documents .
  • Verifies and relays authorization information and status in Cedar Gate to callers via telephone or fax, and provides Prime Dx disclaimer when appropriate.
  • Directs and transfers appropriate calls to Boon Chapman’s Provider Customer Service department, Claims department, and Boon Chapman Member Advocates.
  • Performs other tasks/duties as assigned including use of Excel and Outlook

Job requirements

Qualifications:

  • Experience in general office work and computer software (Microsoft Outlook, Word, and Excel). Medical experience and/or call center exposure is a plus.
  • High school diploma or equivalent. Experience and education may be substituted for one another.
  • Ability to take high volume incoming calls maintaining industry standard KPI’s.
  • Ability to multi-task with the support clinic and preauthorization services with accuracy.
  • Skill in interpersonal and written professional communication across the organization.
  • Ability to accurately compile data and perform detailed work at a high level of speed.
  • Ability to meet deadlines.
  • Ability to maintain strict attendance and be willing to exhibit flexibility based on departmental needs.
  • Ability to maintain confidentiality of material and information including but not limited to member’s PHI in accordance with HIPPA requirements.
  • Ability to maintain professional appearance and demeanor.
  • Ability to work as a member of a team.

Work Environment / Physical Requirements

• Prolonged periods sitting at a desk and working on a computer.
